Hanoikids Tour Terms and Conditions
In booking a tour with Hanoikids, you are deemed to have read and agreed to the following terms and conditions:
The following terminology applies to these Terms and Conditions: “Guest”, “Tourist”, “You” and “Your” refers to you, the individuals/groupsbooking tour(s) with Hanoikids and accepting Hanoikids’ terms and conditions. “Hanoikids”, “Our club”, “Travel-mate”, “Ourselves”, “We” and “Us”, refers to Voluntary English Club Hanoikids. Any use of the above terminology or other words in the singular, plural, capitalisation and/or he/she or they, are taken as interchangeable and therefore as referring to same.
Hanoikids is a student-run organization based in Hanoi providing free tours for English speaking tourists.
By voluntarily taking city tours in Hanoi, we hope to bring travellers from all over the world an insight into our culture, tradition and beautiful sight-seeings. Each member of the club can explore their full potential through cross-cultural experiences and extracurricular activities.
Our only official site is www.hanoikids.org
Please note that Hanoikids members are not professional tour guides and do not charge any fee, therefore, we acts as travel-mates rather than tour guides. While taking the tour, we only share with tourists our own experiences and knowledge.
2.1. Who can book Hanoikids tours?
All individuals, groups or organizations booking tours with Hanoikids are welcome to be our guests.
2.2. How to book Hanoikids tours?
You can book Hanoikids tours via 2 main channels:
• Via email: send information asked directly to firstname.lastname@example.org and get reply back within 60 hours. If not, please send the booking again in case your booking may go into the spam box.
• Via online booking form: fill in the online booking form here (http://hanoikids.org/hanoikids-booking-form/). You will get an email as the confirmation for successfully submitting the form and then get the reply from email@example.com within 60 hours.
The guest is required to provide as detailed information as possible and is advised to place the booking as soon as the touring date is finalized. Our motto is: “No detail is too small, no demand is too big”.
2.3. When is the tour confirmed?
No tour would be conducted without written confirmation from both sides. Make sure you accept our offer on time (as indicated in the email). After the deadline, we reserve the right to cancel the offer one-sidedly.
2.4. Which is the basis of accepting a tour?
All accommodation is on “first come, first served’’ and “run on house” basis.
Note: We do not accept any tour bookings which take place during lunar New Year festival.
2.5. How much is the fee for the tour?
Hanoikids is a volunteer organization so we do not require any charge. You only have to prepare the expenses during the tour such as admission fees, meals and drink, as well as transportation fees both for you and Hanoikids member(s).
2.6. How long do the tour last?
For safety and convenience of both sides, under any circumstances, the club would like to start the tour after 8 a.m. and finish the tour before 10p.m. We usually have three kinds of tour schedule:
• Full day tour: normally starting from 9am till 3pm
• Half day city tour in the morning: normally starting from 9am till 12pm – 1pm
• Half day city tour in the afternoon: normally starting from 2pm till 5pm
• Half day food tour in the evening: normally starting from 6pm till 9pm
However, our tours can be flexible depending on your preference, so please feel free to notify the tour operator before starting the tour. In addition, as almost site attractions are closed in the evening, the evening tours are often taken place in the Old Quarter.
2.7. How to inform us under the circumstances of schedule changes, short notice or urgent cancellations?
The guests must notify us in writing as soon as possible. Whilst we will try to assist your changes, we cannot guarantee that we will be able to do so.
For any immediate assistance, you can give out Tour Operation Department a ring at +84 978 162 283 (Ms. Hien) or +84 906 295 062 (Ms. Hoa), they will be willing to help.
2.8. Are there any changes or cancellation by the club?
Most changes are minor but occasionally we may have to make a ‘significant change’. A ‘significant change’ is deemed to be a change to your tour’s starting time or a change in the duration of your tour. Itinerary or Hanoikids’ member(s)’ contact(s) (if required) are not considered to be ‘significant changes’.
We might also have to cancel a tour in cases of force majeure (war, natural disasters and adverse weather conditions) in Hanoi. We also reserve the right to cancel a tour at any time if we consider there are insufficient information provided, spammed bookings or suspicious guest(s) who may cause harm to our travel mate.
If we have to make a significant change or cancel a tour, we will advise you as soon as possible with any alternate arrangements that may be available. You can choose to either accept these alternate arrangements or cancel the booking.
3. ON THE TOURING DAY
3.1. Payment and contribution
Hanoikids is a volunteer organization so we do not require any charges. The guest only have to prepare the expenses during the tour such as admission fees, meals and drink, as well as transportation fees both for you and Hanoikids’ member(s).
As such, all the money either received by the travel mate receives after the tour would be consider financial contribution to Hanoikids club for the purpose of maintaining and developing Hanoikids’ activities such as:
• Operating travel-mate tour, as you have experienced.
• Running cultural preserving project.
• Holding connecting events within Hanoikids members.
• Running recruitment and training for new members.
*Regarding online/overseas contribution, please send an email to firstname.lastname@example.org for more detail.
Should the guest still want to appreciate the travel mate’s effort, small gifts would be greatly accepted and preferred.
3.2. Code of conduct
We expect all guests to have consideration for their travel-mate(s) and other people. If in our reasonable opinion, the behavior of any guest is likely to cause damage, upset or distress to any party or damage to property, the travel mate (as the representative of the Club) reserves the right to cancel the tour immediately.
The travel mate is responsible for the general flow of the tour and has absolute discretion in making any alterations he/she considers necessary.
3.3. Special requests
Any special requests must be informed to the club in advance. For example, should the guest is taking the food tour option, any possible food allergy or food preference has to be informed to the club/ travel mate in advance.
3.4. Risk of loss and accidents
Whilst every effort will be made to promote requested services, the travel-mate(s) acts only as a local friend to the guest, providing free guided tour and support during that tour. As such, the travel-mate(s) as well as Hanoikids Club is not liable or responsible for any loss, injury, damages due to incidents which occur, political action, change of schedules or other irregularities arising from circumstances beyond control.
We do not provide any kind of insurance along with the tour.
This “Terms and Conditions” is used only by Hanoikids Club and the guest. Using any part or all of this without written permission from Hanoikids club is strictly forbidden.
